Overview of the Workflow Analytics

Prerequisites:

The Content Analytics section will be accessible to users only if all the following conditions are met:

Every section in the Analytics dashboard displays the following important factors:

  • The type of engagement with your Apty Content.
  • Numbers indicating the frequency of engagement with your Apty Content.
  • The percentage of engagement that has changed from the previous to the selected time duration.

    Increase in the engagement rate from the previous to the selected time duration.

    The upward green arrow indicates that, compared to the previous month(9 NOV '23 - 8 DEC '23), there was a 98% increase in the engagement rate in 9 DEC '23 – 8 JAN '24. Similarly, for quarterly or yearly duration, Apty will display data in comparison to the previous quarter or year respectively.

    Decrease in the engagement rate from the previous to the selected time duration.

    The downward red arrow indicates that, compared to the previous month(12 NOV '23-11 DEC '23), there is a 14% decline in the engagement rate in 12 DEC '23–11 JAN '24. Similarly, for quarterly or yearly duration, Apty will display data in comparison to the previous quarter or year respectively.

In this article, we will learn about the Workflow Analytics dashboard.

To view the Workflow Analytics dashboard:

1.  Login to your Admin Portal.

2.  Select your Application from the left panel and then click Content Analytics to navigate to the Workflows dashboard.

You can use the following options to filter the data you want to display in the dashboard:

  • Duration- Displays the Workflows available for the selected time period.
  • Environment- Displays the Workflows available for the selected Environment.
  • Segments- Displays the Workflows available for the selected Segments.

Info:

  • The data in the Content Analytics dashboard will be refreshed every ninety minutes.
  • By default, the time zone is set to your browser's local time. This displays your Apty Content based on your local time zone.
  • You can click the vertical ellipsis and then select Customize Dashboard to drag and drop a section to change the look and feel of the dashboard.customise dashboard

Dashboard Level Insights

Upon selecting a specific content, you'll be directed to the Dashboard Level Insights. This section offers a high-level overview of engagement, adoption, usage, and completion rates for your Workflows across the application.

Workflow Engagement Analysis

This section shows the overall engagement that users have had with all the Workflows on your application, as well as the user engagement rate that has changed between the previous and the selected period.

The definitions of each Workflow status in this section are provided in the table below:

Overall Engagement
  • Total count of Workflows that were engaged(Initiated, Completed, Inprogress, Incomplete, Error) in the selected duration.
  • The change in percentage of Workflows engaged between the previous and the selected duration.
Total Users
  • Total count of unique users who engaged with the Workflows.
  • The change in percentage of user counts between the previous and the selected duration, who have engaged with the Workflows.
Completed
  • The count of Workflows that have been executed through the last step.
  • The change in the percentage of Workflows that has been executed through the last step between the previous and the selected duration.
  • Total number of users who have completed the Workflows.
  • The change in percentage of users between the previous and the selected duration, who have completed the Workflows.
Inprogress
  • The count of Workflows that have been initiated and are currently being executed, but have not reached the final step.
  • The change in percentage of Workflows that are in progress between the previous to the selected duration.
  • Total number of the users who are currently executing the Workflows, but have not reached the last step.
  • The change in percentage of users between the previous and the selected duration, who are currently executing the Workflows, but have not reached the last step.
Incomplete
  • The count of Workflows that have been initiated, but cancelled or aborted before executing the last step.
  • The change in percentage of the Workflows that were aborted during their course between the previous and the selected duration.
  • Total number of the users who have not completed the Workflows.
  • The change in percentage of users between the previous and the selected duration, who have aborted the Workflows.
Error
  • The count of Workflows that encountered an error.
  • The change in percentage of Workflows that encountered an error between the previous to the selected duration.
  • Total number of the users who encountered an error while executing the Workflows.
  • The change in percentage of users between the previous and the selected duration, who encountered errors with the Workflows.

Workflow Engagement

This section consists of the top 3 Most EngagedLeast Engaged, and Unengaged Workflows for the selected period.

Most Engaged Workflows
  • The top 3 Workflows with the highest engagement(Completed, Inprogress, Incomplete, Error) count in descending order.
  • The change in percentage of user engagement for each Workflow between the previous and the selected duration.
  • Total number of users who engaged with each Workflow.
  • The change in percentage of user engagement with each Workflow between the previous and the selected duration.
Least Engaged Workflows
  • The top 3 Workflows with the lowest engagement(Completed, Inprogress, Incomplete, Error) count in ascending order.
  • The change in percentage of user engagement for each Workflow between the previous and the selected duration.
  • Total number of users who engaged with each Workflow.
  • The change in percentage of user engagement with each Workflow between the previous and the selected duration.
Unengaged Workflows
  • The top 3 Workflows that have no engagement since they were published.
  • The change in user engagement percentage will be 0 for each Workflow in this case.

Content Overview

This section displays the average engagement count of the Workflows between the previous and the selected duration.

Data Type Display Status
Most Frequently Engaged

The count of Workflows whose daily average engagement count is greater than the average engagement count for the selected duration.

Least Frequently Engaged The count of Workflows whose daily average engagement count is less than equal to the average engagement count for the selected duration.
Unengaged The count of Workflows that were unengaged for the selected duration.

Sources of Engagement

This section displays the following details:

    • The total number of times your Workflows have been started through various sources, such as LaunchersPlayerAnnouncements, and Permalinks.
    • The total count of Workflows initiated using LaunchersPlayerAnnouncements, and Permalinks.

Segment Level Insights

This section displays the metrics of all your Workflow engagements for the selected segment for the selected duration.

For example, you can see that the CEO segment contains in total 3 users who have interacted with the Workflows 2340 times for the selected duration in the following ways:

Incomplete - 1 user initiated and aborted the Workflows 1137 times before reaching the last step.

Errors - 1 user encountered errors in the Workflows 4 times.

Completed - 1 user initiated and completed the Workflows 1199 times through the last step.

InProgress - The count of Workflows that have been initiated and not executed through the last step is 0.

Workflow Analysis

This section lists the top 5 Workflows in the increasing and decreasing order of user engagement for the selected duration. You can also filter the Workflows data based on their Average Completion rate and Frequency of use. Each filter also displays the number of users engaged with each Workflow and the Action column displaying the flowchart view for each Workflow.

Increase in Engagement

Engagement

Count of the top 5 Workflows starting with the highest percentage change in user engagement between the previous and the selected duration.

Avg. Completion Time Count of the top 5 Workflows starting with the highest percentage change in the average completion rate between the previous and the selected duration.
Frequency

Count of the top 5 Workflows starting with the highest percentage change in the daily average engagement rate between the previous and the selected duration.

Similarly, the data in the Decrease in Engagement table will have the same format, except it will display the lowest values first.

Content Level Insights

Here, you can thoroughly examine the usage patterns and performance metrics for each Workflow. From engagement rates to user behavior at each step, this detailed analysis empowers you with actionable insights to optimize your Apty Content effectively.

For a deeper dive into individual Workflows, explore the Content Level Insights section:

a.  Click the View All button on the Workflow Engagement section in the primary dashboard.

The following data is shown in a maximised table for all the existing Workflows created within your application:

Data Type Display Status
Workflow Name Name of the Workflow given by the Content Creator.
Engagement The number of times that users have engaged with the Workflow along with the user engagement rate that has changed between the previous and the selected duration.
Completion The number of times that users have completed the Workflow through it's last step along with the completion rate that has changed between the previous and the selected time period.
No. of User Total number of users that has engaged with the Workflow.
Status The Workflow state indicating whether it is PublishedNot Published, or Deleted.

Note:

You can add additional data to the table by clicking the gear icon and selecting the required filters.

b.  Select a Workflow from the table to examine the usage of each Workflow step. For every workflow, a flowchart view with statistics is shown for each step.

You can view how users engage with each step of the Workflow by referring to the flowchart. By clicking on each step, you can view their user engagement counts.

You can also quickly identify a Workflow step by its color, each of which represents a unique meaning as explained in the table below.

  • The steps that were initiated the most amount of times.
  • The count of each step that was initiated the most amount of times.
  • The change in percentage of each step that were initiated the most amount of times between the previous and the selected duration.
  • The count of users who initiated the steps.
Max. Dropped Steps
  • The steps that were cancelled/aborted the most amount of times.
  • The count of each step that was cancelled/aborted the most amount of times.
  • The change in percentage of each step that were cancelled/aborted the most amount of times between the previous and the selected duration.
  • The count of users who cancelled/aborted the steps.
Max. Errored Steps
  • The steps at which users encountered an error the most amount of times.
  • The count of each step that executed an error the most amount of times.
  • The change in percentage of each step that were cancelled/aborted the most amount of times between the previous and the selected duration.
  • The count of users who encountered an error in each step.

Workflow Engagement Analysis

This section shows the overall engagement that users have had with the selected Workflow, as well as the user engagement rate that has changed between the previous and the selected time period.

  • Total number of times the Workflow was executed through it's last step.
  • The change in percentage of the Workflow run through the last step between the previous and the selected duration.
  • Total number of the users who have completed the Workflow.
  • The change in percentage of users between the previous and the selected duration, who have completed the Workflow.
Inprogress
  • Total number of times the Workflow was initiated and is currently being executed, but have not reached the final step.
  • The change in percentage of the Workflow that is in progress between the previous to the selected duration.
  • Total number of the users who are currently executing the Workflow, but have not reached the last step.
  • The change in percentage of users between the previous and the selected duration, who are currently executing the Workflow, but have not reached the last step.
Incomplete
  • Total number of times the Workflow was initiated, but cancelled or aborted before executing the last step.
  • The change in percentage of the Workflow that was aborted during their course between the previous and the selected duration.
  • Total number of the users who have not completed the Workflow.
  • The change in percentage of users between the previous and the selected duration, who have aborted the Workflow.
Error
  • Total number of times the Workflow encountered an error.
  • The change in percentage of the Workflow that encountered an error between the previous to the selected duration.
  • Total number of the users who encountered an error while executing the Workflow.
  • The change in percentage of users between the previous and the selected duration, who encountered errors with the Workflow.

Average Engagement Metrics

This section displays the average user engagement data of a Workflow for the selected duration.

Sources of Engagement

This section lists the sources through which the Workflow was initiated, along with the total number of times the Workflow was displayed through each source as described below.

  • The total number of times the selected Workflow have been started through various sources, such as LaunchersPlayerAnnouncements, and Permalinks.
  • The total count of the Workflow initiated using LaunchersPlayerAnnouncements, and Permalinks.
  • The total number of users who initiated the Workflow using LaunchersPlayerAnnouncements, and Permalinks

Performance Analysis

This sections displays a graphical representation of the Workflow

  • The average time taken per week to complete the Workflow through it's last step for the selected duration.

  • The frequency with which the Workflow has been engaged throughout the selected duration each week.
  • The number of users who have frequently engaged with the Workflow each week for the selected duration.
